Job Description

Our client is seeking a proactive, highly versatile Office Manager to oversee daily workplace operations and administrative functions. This is a direct hire role.

Key Responsibilities

  • Office & Facility Operations: Keep daily workplace operations running smoothly, managing inventory, facilities maintenance, and vendor relationships within budget.

  • Executive Team Support: Directly assist executive team members with schedule management, travel coordination, expense reporting, and meeting preparation.

  • Onboarding Logistics: Facilitate seamless onboarding for incoming employees by managing documentation, preparing workstations, and coordinating first-day logistics.

  • IT Services Liaison: Serve as the main point of contact for external IT partners, monitoring support tickets to ensure team technology remains operational and updated.

  • Social Media & Communications: Oversee corporate social media channels by scheduling posts, preserving brand consistency, and identifying engagement opportunities.

  • Process Improvement & Records: Maintain organized operational and HR documentation while actively identifying ways to streamline office workflows.

Qualifications

  • Experience: 2+ years of administrative, office management, or executive support experience.

  • Multitasking Agility: Exceptional ability to context-switch effortlessly between operational tasks, tech troubleshooting, and internal communications throughout the day.

  • Technical Proficiency: Skilled in Microsoft 365 or Google Workspace with a quick learning curve for SaaS tools and basic technical troubleshooting.

  • Vendor & IT Coordination: Prior experience collaborating with third-party IT providers and managing company social media platforms (e.g., LinkedIn) preferred.

  • Ownership & Problem-Solving: A self-starter who anticipates operational needs, manages competing demands, and makes sound decisions independently.

  • Communication & Confidentiality: Clear, professional verbal and written communication with high integrity when handling sensitive executive and personnel matters.
