Job Description

Our real estate client is seeking a highly organized and professional Executive Assistant to support two senior executives. This is a 3-month contract role to start with the possibility of extension. In this role you will work closely with senior leadership during a critical period of transition. The ideal candidate is proactive, detail-oriented, and confident managing competing priorities in a fast-paced, corporate environment.

This is a hybrid position (4 days in office, 1 days WFH) in Toronto, ON. 

Responsibilities: 
  • Provide  administrative support to two executive leaders
  • Prepare documents and presentations for meetings; take minutes and track action items
  • Manage complex calendars, schedule meetings, and coordinate logistics
  • Handle confidential correspondence, emails, and inbound communications
  • Coordinate travel arrangements and process expenses
  • Draft and format reports, memos, and other business communications
  • Maintain organized electronic and paper filing systems
  • Liaise with internal and external stakeholders 
  • Act as a communication and coordination hub for the broader team
Qualifications:
  • 3+ years of experience in a senior administrative or EA role
  • Post-secondary education in business administration or a related field
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook, Teams)
  • Strong organizational and multitasking skills
  • Excellent verbal and written communication
  • Discretion and professionalism in handling confidential information
  • Bilingualism (English/French) is an asset
