Job Description

Our client, a membership organization in Downtown Toronto, is seeking an Events Administrator. This will be an 11 week contract with the potential to extend. This is a hybrid opportunity requiring several days a week in-office, as well as on-site participation at events. The role offers a competitive salary and the chance to join a friendly and dynamic team! 

Roles and Responsibilities

-Assisting the team with all aspects of exhibitor and sponsor engagement, including data entry, tracking, registration, communications, and follow-up.

-Coordinating logistics, shipping, and transportation for events.

-Providing registration support for event and education participants.

-Answer inquiries.

-Manage correspondence.

-Organizing event logistics such as AV equipment, transportation, signage, and other materials.

-Supporting the promotion and distribution of event and education materials.

-Helping manage and maintain the roster of events and educational offerings.

-Setting up and providing support for both in-person and virtual meetings, events, and educational sessions.

-Delivering administrative support for event logistics, including venue booking, catering arrangements, supply and AV orders, travel coordination, and event décor.

-Collaborating closely with the accounting and operations teams to ensure smooth execution of events.

-Partnering with administrative staff and other teams to support workshops, events, and other meetings as needed.

-Assisting with updates and maintenance of website content.

Qualifications and Skills

-Must have completed a post-secondary degree or diploma

-Must have a minimum of 3 years of Events experience

-Must have experience working in a mid to large sized organization

-Must have excellent verbal and written communication skills

-Must be highly organized and detail-oriented

-Must be able to multi-task and prioritize in a deadline-driven busy environment

-Must be proficient in MS Office with the ability to sort data in Excel

-Must be tech-savvy and have experience working with CRMs

-Must have a valid driver's license and have the ability to travel several times a month to support with events throughout Ontario

-Must have the ability to work occasional evening/weekend hours for events as needed

-Must have excellent client service skills

-Must be able to work well with individuals at all levels of an organization
