Job Description
Our Federal government client is seeking an Administrative Assistant to join them on contract. This contract will go from May 2025 - Ocotber 31, 2025 with a hybrid working model.
Scope of work:
- Making travel requests and preparing expense reports using our travel system.
- Organize meetings and/or events.
- Organize and track support materials, prepare and distribute agendas, book, and confirm room availability and set up and arrange hospitality and equipment requirement.
- Attend meetings, take, and transcribe the minutes, note actions, circulate minutes for comments and approval, track follow up actions and commitments.
- Scheduling meetings, collaborate with external or internal administrative colleagues to manage scheduling conflicts as needed.
- Manage team calendars: Scheduling meetings, collaborate with external or internal administrative colleagues to manage scheduling conflicts as needed.
- Proof-read; ensure proper document formatting, spelling and grammar.
- Proof-read for approval: ensure cost coding is appropriately reflected in approval documentation. Ensure recommender has recommended.
- Cost out office supplies, get approvals, order, receive, store or distribute. Use SAP to record the purchase, attach supporting documents, get approvals, etc.
- Data entry to update tracking log in Excel, track documents as needed.
Experience and Qualifications: - Must have a valid reliability clearance.
- must have 12 months of relevant experience in a business environment
- Experience providing administrative support to executives, VPs or management within the last 6 months.
- Proficiency with Microsoft Office, GCDocs, SAP/GBT Travel System, application of the National Joint Council or Treasury Board travel directive.
- Previous experience working in the federal government would be considered an asset.
- Excellent time management and planning skills.
