Job Description

Our client is currently looking for Finance Assistants to join their team as soon as possible! This role is a 2 month contract and is fully onsite.

Key Responsibilities:

  • Process invoices and vouchers in compliance with established policies, procedures, and regulations.
  • Reconcile supplier statements with expenditure records and maintain an organized filing system for purchase orders.
  • Review purchase orders for goods received and collaborate with suppliers, the Warehouse, and the Facilities team to resolve any discrepancies.
  • Handle manual payroll claims, ensuring accuracy and compliance with company policies.
  • Escalate discrepancies or irregularities to the approving Manager for resolution.
  • Accurately code invoices and expense claims for cost analysis and audit purposes.
  • Perform data entry for timesheets and payables.
  • Prepare and issue accounts receivable invoices, maintaining a detailed log of all invoices and payments.
  • Follow up with the appropriate business units regarding discrepancies and overdue accounts.
  • Maintain comprehensive files and records of all financial documents, ensuring proper tracking and secure storage.
  • Manage the receipt, recording, and distribution of incoming mail and invoices.
  • Coordinate outgoing mail, courier pickups, and deliveries for the Finance and Payroll team.
  • Provide administrative and clerical support for projects assigned by the Manager and other team members as needed.

Qualifications:

  • A minimum of 3 years of progressive experience in an accounting role.
  • Solid knowledge of financial, accounting, and administrative processes and practices.
  • Exceptional attention to detail and accuracy.
  • Ability to prioritize tasks effectively and meet deadlines in a fast-paced environment.
  • Strong interpersonal, communication, and customer service skills.
  • Proficiency in Microsoft Office, particularly Excel and Word.
  • Proven ability to thrive in a dynamic, multi-tasking work environment.
  • Experience with Great Plains accounting software and payroll systems is an asset.
