Job Description
Our client in the Property Management sector is seeking an Accounts Payable Administrator on a 6-month contract basis for a hybrid role in Toronto. This opportunity involves managing a range of administrative tasks, such as processing expense invoices, responding to vendor payment inquiries, and supporting various accounts payable functions.
Key Responsibilities
- Administer the centralized Accounts Payable operations, processing property expense and capital invoices using the Real Estate Property Management system (Yardi/Elevate) for residential portfolios in Ontario, Nova Scotia, and Quebec.
- Verify invoice accuracy, including payment authorization levels and compliance with company policies.
- Match invoices with approved purchase orders in Yardi, ensuring proper workflow approvals.
- Work with vendors and site teams to resolve discrepancies, update vendor accounts (e.g., GST changes), set up new vendors, and manage EFT registrations.
- Address purchase order issues, such as incorrect amounts or unreceived lines, by coordinating with site staff.
- Enter invoices into the system and route them for approval in line with company guidelines.
- Meet monthly payable processing deadlines and correct payables as required.
- Generate reports on outstanding invoices for month-end processes.
- Respond to vendor inquiries regarding payment status via a centralized email system.
- Handle email and phone inquiries from various internal offices, head office teams, and external vendors.
- Perform additional administrative duties as assigned.
Qualifications
- Post-secondary education in administration or equivalent accounts payable experience; a one-year college diploma is acceptable.
- Strong data entry skills with excellent attention to detail.
- Proficiency in SharePoint, Teams, Word, Excel, Office 365, and Yardi is an asset.
- Exceptional written and verbal communication skills.
- Excellent organizational abilities to manage competing priorities, meet deadlines, and handle fluctuating volumes.
