Job Description

Roles and Responsibilities

  • Organizes, analyzes, and maintains asset information to establish an accurate and complete repository, tracking software and hardware assets throughout their lifecycle.
  • Analyzes and reports on asset usage near contract completion to determine if licenses and support should be renewed; makes recommendations based on results such as usage and cost-effectiveness.
  • Assists in establishing and implementing standardized global IT Asset Management (ITAM) policies, processes, and procedures to ensure compliance with contract requirements; manages ongoing maintenance of these procedures.
  • Conducts and reports on asset reconciliation and audit activities related to license compliance requirements, including financial, licensing, and warranty information. Implements audit recommendations to ensure compliance is met.
  • Provides data to the ITAM Ordering & Contract Coordinator for processing procurement requisitions.
  • Analyzes trends and market conditions to forecast and manage present and future company requirements for software and hardware assets.
  • Compares warranties, maintenance agreements, and vendor contracts to assist with asset upkeep, upgrades, repairs, and replacements.
  • Communicates asset lifecycle changes, such as end-of-life support or retirement, and identifies risks and options to team members and stakeholders in a timely, clear fashion.
  • Maintains database information to address budgeting, compliance, inventory, contracts, and costs. Develops reporting to support management decision-making.
  • Continuously monitors performance of existing processes, recommending solutions and implementing process efficiencies. Researches industry best practices to establish benchmarks for managing IT assets.
  • Prepares workflows and procedures to ensure that new or updated processes are integrated into the operational environment.
  • Provides support for I&IT Operations-related projects as required.

Qualifications and Skills

  • Effectively able to convey qualitative and quantitative information to technical and non-technical audiences, including leadership.
  • 2+ years' professional experience with publishers such as Microsoft and Oracle, managing software licensing agreements and compliance, including interpreting licensing terms and conditions, conducting audits, renewals, and negotiations.
  • 2-3+ years' experience with Software Asset Management in large organizations.
  • Working experience with ServiceNow® products, SAMPRO & HAMPRO.

Education

  • Completion of International Association of Information Technology Asset Managers (IAITAM) Certified Software Asset Manager (CSAM) certification is an asset.

Nice-to-Haves

  • Highly proficient in Microsoft Excel, including creating/modifying pivot tables, dashboards, and working with large datasets.
  • Familiarity with infrastructure software and managing large vendors such as IBM, Microsoft, VMware, and Oracle.
  • Proficiency with ServiceNow® Discovery Tools and the Configuration Management Database (CMDB).
  • Exceptional analytical, research, and problem-solving skills.
  • Adaptability to fast-paced, collaborative team environments.
  • Attention to detail and commitment to delivering high-quality results.
