Job Description
Our client in the regulatory body space is hiring a Program Administrator to support their Registration and Complaints Programs. This key role involves managing registration applications, facilitating complaints intake, preparing case-related correspondence, monitoring case progress, and providing administrative support for hearings.
The Program Administrator will play an essential role in data management, reporting, and maintaining effective communication with registrants, the public, and external stakeholders, all while ensuring strict compliance with regulatory policies and procedures.
Responsibilities
- Serve as a primary contact for applicants, registrants, and stakeholders regarding registration processes.
- Assist with the annual renewal process and perform related administrative tasks.
- Manage intake inquiries and gather required information for complaints cases.
- Draft and manage correspondence related to registration and complaints.
- Support the scheduling and coordination of Discipline and Appeals hearings.
- Maintain and update the database, tracking the progress of registration and complaints cases.
- Collaborate with Program Managers to prepare detailed reports for senior leadership and external stakeholders.
- Ensure timely and professional communication with the public, registrants, and external partners.
- Support policy updates and contribute to process improvements within the regulatory framework.
- Participate in organization-wide initiatives, projects, and training programs.
Qualifications
- Diploma or degree in Administrative Studies or a related field, or equivalent experience.
- Minimum of 2 years of experience in membership services or working in a regulatory or oversight environment.
- Strong attention to detail.
- Exceptionally organized, enabling seamless multitasking.
- Proficiency in Microsoft Office Suite, SharePoint, and Adobe tools.
- Strong verbal, written, and interpersonal communication skills.
- Excellent organizational skills with a focus on customer service excellence.
- Self-motivated and able to work independently within a remote team.
- Experience with CRM systems and a solid understanding of regulatory frameworks in Ontario, particularly within healthcare or similar sectors.
- Bilingual proficiency in English and French is an asset.
