Job Description
Our large client in the healthcare industry is seeking a highly motivated and experienced Administrative Assistant to join their team. This position will play a key role in providing essential administrative and clerical support to ensure smooth operations within the department. The role also involves collaborating with internal and external stakeholders to maintain effective relationships and support key initiatives.
Location: Downtown Toronto (On-site 2 days per week)
Contract: 6-month contract with the possibility of extension
Responsibilities:
- Provide administrative support to the Chief Medical Officer and Senior Director (e.g., scheduling, travel, expenses, supplies).
- Respond to inquiries on behalf of leadership.
- Prepare confidential documents, including letters, reports, and presentations.
- Assist with document handling and sensitive initiatives.
- Liaise with internal departments and external agencies.
- Support budget planning, expense reconciliation, and invoice management.
- Maintain records, manage files securely, and develop departmental templates and reports.
- Assist with onboarding new staff.
- Draft, compile, proofread, and format documents and communications.
- Plan, schedule, and coordinate meetings, events, and communications.
- Support IT functionality during meetings (e.g., Zoom, Webex).
- Perform other administrative tasks as required.
Qualifications:
- Post-Secondary Certificate or Diploma in Office Administration or a related discipline.
- Minimum of 3 years of senior-level administrative experience, preferably in the healthcare field.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Access) and virtual meeting applications (e.g., Zoom).
