JOB DESCRIPTION: Scheduling Coordinator
Role and Responsibilities Include: Willing to Travel within CT
Hours Mon-Fri 9am-5pm
1. Schedule & Staffing: Create and maintain schedules for client visits and caregiver assignments, ensuring coverage for illness, vacation, and emergencies.
- In consultation with the Scheduling Supervisor and other office staff, work to fill all caregiver schedules for all clients
- Actively keep schedule up to date in the back-office system
- Respond to fill-in requests as needed
- Communicate via texting, phone and email with caregivers with respect to their weekly schedules, fill in shifts, client details, etc.
- Communicate any caregiver issues or changes with our clients to staff as appropriate, help ensure that all parties are informed.
2. Client & Caregiver Liaison: Serve as the primary point of contact for clients and caregivers, resolving concerns, answering questions, and relaying important information.
- Utilizing Wellsky to document hospitalizations, call-out and other important information.
- Contact clients and caregivers to notify them of daily schedule changes, urgent requests, and other important updates. 3. Problem-Solving:
- Address and resolve issues such as scheduling conflicts, client concerns, and staffing gaps.
4. Basic Office Support
- Help with day-to-day function of small office
- Answer phones
- Collect/open mail
- Assist response to leads, inquiries and other general correspondence
- Other administrative duties as needed to ensure the smooth running of the office
Skills and attributes: Solid communications skills, computer savvy, able to communicate effectively via text, ability to multi-task, extremely detail oriented, fast keyboarding skills, honest & trustworthy, positive attitude, comfortable working without hands-on supervision.
