Real Estate Legal Assistant
Phoenix, AZ | Direct Hire | Hybrid
A well‑established law firm in Phoenix is seeking an experienced Real Estate Legal Assistant to support a busy team of attorneys handling commercial real estate matters. This role is ideal for someone who enjoys working with complex documents, managing multiple priorities, and serving as a key administrative partner within a collaborative legal team.
Position Overview
The Legal Assistant will provide comprehensive administrative and document support to attorneys and paralegals in the real estate practice. The ideal candidate is detail‑oriented, highly organized, and comfortable working in a fast‑paced environment where accuracy and professionalism are essential.
Key Responsibilities
- Edit, format, and proofread correspondence, agreements, contracts, and other real estate documents
- Draft routine filings and basic legal documents
- Maintain organized and up‑to‑date electronic and physical files
- Manage attorney calendars, schedule meetings, and coordinate daily workflow
- Track and submit weekly time entries and assist with expense reimbursements
- Maintain documents and emails within the firm’s document management system
- Serve as a liaison between attorneys and internal departments such as Accounting, IT, Business Development, and Records
- Prioritize tasks, monitor deadlines, and ensure timely completion of administrative and legal support duties
Qualifications
- 3+ years of legal administrative experience, preferably in real estate or transactional law
- Familiarity with workflows and expectations within mid‑ to large‑sized law firms
- Strong written and verbal communication skills
- Proficiency with Microsoft Office 365 and legal software such as iManage/DMS, Aderant, Workshare Compare, Adobe, or similar tools
- Ability to multitask, stay organized, and work effectively under deadlines
- High attention to detail, especially when reviewing and proofreading documents
- Strong interpersonal skills and the ability to build positive working relationships
- Ability to work independently and think proactively
