Job Title: Confidential Admin/Marketing Coordinator
Location: [Confidential – Onsite]
Compensation: $75,000 – $85,000 DOE
Schedule: Monday – Friday, 7:30 AM – 4:30 PM
Reports to: Director of Sales and dotted-line to COO

-Hours: Are you able to work the following hours 7:30-4:30 (with a 1 hour lunch break)?
-Role: Are there any concerns with both sides of the role: Administrative tasks such as opening the doors, making coffee, running paperwork through scanners, as well as Marketing based project work to support the executive team?
-Describe a time you were the first point of contact for a visitor or caller and had to troubleshoot an unexpected situation. What did you do?
-Can you walk us through your experience with Constant Contact or a similar email platform? What types of campaigns have you supported?
-Have you ever supported trade shows or events from a marketing standpoint? What tasks did you manage?
-How do you approach updating a company website or creating marketing materials when there’s little direction or branding guidance?

Position Summary:
We are seeking a highly organized, proactive, and detail-oriented Admin/Marketing Coordinator to serve as a central hub for our marketing efforts and front-office operations. This role is instrumental in keeping both marketing and administrative processes running smoothly — from greeting visitors and fielding calls, to designing marketing materials and coordinating trade shows.
This role requires strong professional judgment, reliability, and an innate ability to anticipate needs and take initiative. We need someone with a problem-solving mindset who won’t hesitate to ask “How can I help?” — even in the face of uncertainty.

Key Responsibilities:
Administrative/Front Office:
• Serve as the first point of contact for office visitors and incoming calls; greet guests with professionalism and a solutions-oriented mindset.
• Monitor shared mailboxes, office supplies, and general administrative workflows.
• Scan and route invoices, monitor website orders, and maintain the accuracy of sales reports and broker product listings.
Marketing Support:
• Coordinate and execute ongoing marketing tasks including updating websites, creating flyers, and producing email campaigns using Constant Contact.
• Provide logistics and creative support for trade shows and industry events.
• Liaise with external vendors and internal teams to keep marketing projects on track and on brand.
• Collaborate on design concepts and content creation with a creative, resourceful approach.
Requirements:
• 2–5 years of experience supporting a Marketing team in an administrative, coordinator, or assistant capacity.
• Proficiency in Constant Contact or equivalent email marketing software.
• Prior experience supporting trade shows, events, or product launches.
• Strong written and visual communication skills; eye for design and branding consistency.
• Reliable, proactive, and solutions-oriented with excellent interpersonal skills.
• Comfortable wearing multiple hats and adapting to a dynamic office environment.
Preferred:
• Experience in a small-to-mid-sized company without a large, dedicated marketing department.
• Background in B2B marketing or product marketing environments.
