Order Processor (Temp Assignment)
Duration: 3-6 months
Start Date: 6/16/2025
Schedule: Mon-Fri, 8am-4:30pm

Our client is an artisanal creamery in Petaluma providing delicious yogurts and cheeses across the country.  We are seeking a Temporary Order Processor to support a leave of absence.  This role will be on-site at the creamery Monday through Friday, utilizing QuickBooks heavily.  The ideal candidate will have experience working with QuickBooks and a desire to learn.  This temporary role is eligible for medical, dental, and vision benefits along with sick time during the assignment. 

Daily Operations:

  • Collect the previous day’s pick report from the warehouse to review completed orders.
  • Identify any shortages and promptly communicate with the customer to provide updates and solutions.
  • Create and process the Bill of Lading (BOL) and Fishbowl Pick Ticket specifically for Costco shipments, ensuring accuracy and timeliness.
  • Regularly monitor and respond to emails from internal teams, distributors, and customers to support smooth day-to-day operations.
  • Identify and scrap any damaged or unsellable items, maintaining proper records for inventory adjustments.
  • Review discrepancies reported by distributors, investigate root causes, and escalate or resolve issues accordingly.
  • Review and accurately enter purchase orders (POs) into the order tracking system (order book), ensuring all information matches corresponding pick tickets and inventory records.
  • Scan, rename, and organize all BOLs and Pick Reports in digital folders.
  • Upload documentation to SharePoint for internal visibility and project tracking.

 

System Updates and Invoicing:

  • Use Fishbowl to push orders for invoicing and inventory updates.
  • Generate and send invoices through QuickBooks and SPS Commerce, ensuring timely billing and compliance with customer-specific requirements (e.g., Costco).

 

Monthly Responsibilities:

  • Compile and send monthly reports summarizing order activity, shortages, and inventory adjustments to relevant stakeholders.
  • Identify and close out short POs for the month, updating records to ensure financial and inventory reconciliation.
  • Upload Costco-related POs into Promomash for promotional tracking and planning, ensuring data accuracy and alignment with marketing and sales schedules.

Requirements:

  • Working knowledge of QuickBooks
  • Ability to be on-site in Petaluma, CA, Mon-Fri
  • Strong attention to detail
  • Experience with Fishbowl system is a plus!
