Receptionist/Legal Administrative Assistant (12 - 18 Month Maternity Leave Coverage)
Location: Toronto, Ontario; Onsite
Our client is adding a Receptionist/Administrative Assistant to their team! They are a law firm with a collegial and open-door environment, with a track record of promoting internal growth for their team members. This is a contract opportunity to cover a Maternity Leave with the potential to extend or move into other parts of the team.
Key Responsibilities:
- Greet and welcome clients, guests, and visitors in a friendly and professional manner.
- Answer and direct incoming phone calls, taking accurate messages when necessary.
- Maintain the front desk area to ensure it is clean, organized, and welcoming at all times.
- Manage appointment scheduling, including client consultations and meetings with attorneys.
- Coordinate meeting room bookings and ensure all necessary resources (e.g., coffee, documents, AV equipment) are available.
- Ensure the kitchen stays tidy
- Assist in preparing and organizing legal documents for client meetings.
- Handle incoming and outgoing mail, faxes, and deliveries.
- Maintain office supplies inventory and place orders when necessary.
- Provide administrative support to attorneys and legal staff as needed.
- Assist with filing, scanning, and other office duties as required.
- Uphold confidentiality and professionalism in handling client and firm information.
- Perform other duties and tasks as assigned by office managers or attorneys.
Qualifications:
- 3+ Years' relevant work experience; additional qualifications or certifications in office administration or legal studies are a plus.
- Previous experience in a receptionist or administrative role, preferably in a legal or professional services environment.
- Strong verbal and written communication skills.
- Proficiency in office software (e.g., Microsoft Office, iManage, etc.).
- Ability to multitask, prioritize, and manage time effectively.
- Professional demeanor with excellent interpersonal skills.
- Strong attention to detail and problem-solving abilities.
- Familiarity with basic legal terminology is a plus but not required.
- Ability to handle sensitive and confidential information with discretion.
