Hours :  Monday to Friday 8 hour workday - Schedule may vary based on project requirements and turnaround activities. Availability for weekends and statutory holidays is required

Stuart Olson is looking for a Site Administrator who is local to Fort McMurray.  The Site Administrator is responsible for accurate timesheet processing, payroll support, daily reporting, and maintaining organized project documentation. This role works closely with project teams to ensure timely, efficient administrative support across site operations.

This is a full-time, permanent position based out of our Fort McMurray, AB office.

Key Responsibilities

  • Prepare electronic timesheets based on field submissions
  • Enter timesheet data into Tracker and reconcile payroll hours
  • Investigate and resolve payroll discrepancies or employee inquiries
  • Working knowledge of collective (union) agreements, including the ability to interpret and apply provisions related to hours of work, overtime, premium pay, and leave in support of accurate timekeeping and administrative processes.
  • Processing Material invoicing and balancing
  • Process onboarding and offboarding documentation
  • Update and distribute crew lists
  • Prepare daily force reports and swipe reports
  • Generate LEMs for client approval and billing
  • Support Project Managers and Site Supervisors with administrative tasks and reporting as required

Qualifications

  • High School Diploma required
  • 2–4 years of administrative experience in a construction or industrial environment
  • Advanced proficiency in MS Excel and MS Word; Track and Fieldglass experience is an asset
  • Experience with Syncrude systems is an asset.
  • Demonstrated professionalism, confidentiality, and integrity
  • Strong organizational skills with the ability to manage multiple priorities in a fast‑paced environment
  • Effective time management and the ability to work independently or collaboratively
  • Strong analytical, problem‑solving, and critical‑thinking abilities
  • Excellent interpersonal skills with a customer‑service mindset
  • Clear and professional written and verbal communication skills
  • Ability to build and maintain positive working relationships
  • Self‑motivated with a strong sense of urgency and commitment to meeting deadlines
  • Pre-access Drug and Alcohol test
  • Working Conditions 

    • Working on Site Environment
    • Personal safety equipment will be required, e.g. steel-toed safety boots
