Job Description

Roles and Responsibilities

  • Provide project coordination and administrative support for the delivery of technology capital projects and programs.
  • Work closely with BTS Project Managers to coordinate full project lifecycle activities, ensuring alignment with organizational goals and project timelines.
  • Manage and report on project/program financials, including budget tracking, actuals, burn rates, and financial forecasting.
  • Support contract administration processes, including development and maintenance of Statements of Work (SOWs), Requests for Information (RFIs), and Requests for Proposals (RFPs).
  • Prepare and maintain project documentation, including Project Status Reports (PSRs), governance documents (e.g., Project Change Approvals and Specific Project Approvals), and other key deliverables.
  • Coordinate project meetings, including scheduling, agenda preparation, and minute-taking.
  • Assist in problem solving and recommending process improvements to project and program managers.
  • Engage regularly with internal teams and cross-functional stakeholders to ensure project alignment and communication.

Qualifications and Skills

  • Minimum 5 years of experience in IT project and/or program coordination.
  • Proven experience managing project financials, including generating detailed and accurate financial reports.
  • Demonstrated vendor contract coordination experience.
  • Strong organizational and time management skills with the ability to manage multiple priorities in a fast-paced environment.
  • Excellent written and verbal communication skills, including documentation and presentation preparation.
  • Proficient in MS Office tools, particularly Excel (Advanced), Outlook, Word, PowerPoint, and Visio.
  • Experience using Microsoft Project, SharePoint, and OneDrive for project management and collaboration.
  • High attention to detail and accuracy in documentation and reporting.
  • Ability to analyze and consolidate data from various sources to support informed decision-making.
  • Experience working in a public sector organization or transportation environment is mandatory.
  • Familiarity with multiple project management methodologies, including Waterfall, Agile Scrum/SAFe, and Kanban.
  • Experience supporting large-scale technology capital projects or enterprise-level programs.

Education

  • Post-secondary education in Business Administration, Information Technology, or a related discipline is preferred.
