Job Description

Our client in the non-profit sector is currently hiring an Administrative Services Assistant (Float) for a 6-month contract. This hybrid role is based in London, Ontario, and offers a meaningful opportunity to contribute to the impactful organization. The Administrative Services Float plays a vital role in supporting the efficient operation of multiple departments and teams within the organization. Acting as a flexible support resource, this role performs a wide range of administrative and office support tasks to ensure high-quality service delivery for internal staff, children, youth, families, and community partners.

 

Responsibilities:

  • Provide daily administrative support across departments, including, photocopying, scanning, faxing, mailing
  • Booking appointments and meeting rooms
  • Preparing and modifying documents (correspondence, reports, memos, etc.)
  • Attending meetings and preparing minutes
  • Manage case file organization and support case openings, closings, and transfers.
  • Provide technical support to staff on CPIN and Microsoft Office applications.
  • Provide front desk coverage as needed (reception, switchboard, mailroom).
  • Answer and direct incoming calls in a courteous and professional manner.
  • Assist in compiling statistical data and reports.
  • Support annual and ongoing tracking of administrative functions and records.
  • Establish strong working relationships with team members and external stakeholders.

 

Qualifications:

  • High school diploma required; post-secondary education in office administration preferred.
  • 2–3 years of relevant office administration experience.
  • Typing speed of 45 WPM with minimum 90% accuracy.
  • Proficient in Microsoft Word and Excel (minimum 60% proficiency on skills assessment).
  • Familiarity with systems such as CWIS and CPIN is an asset.
  • Strong organizational and time-management skills.
  • Excellent verbal and written communication abilities.
  • Demonstrated ability to multitask and prioritize under pressure.
