Mobilization Coordinator – Remote (1-Month Contract with Possible Extension)
Hourly Rate: $28.85/hr
Start Date: ASAP

On behalf of our non-profit client, we are actively recruiting Mobilization Coordinators who are passionate about meaningful work and thrive in fast-paced, dynamic environments. This is a remote, full-time, 1-month contract with a possibility of extension based on performance.

As a Mobilization Coordinator, you will play a key role in supporting the deployment of emergency response personnel across Canada, helping to ensure smooth onboarding, travel, and data tracking in high-pressure situations.


Key Responsibilities

Workforce Sourcing & Coordination

  • Generate candidate lists based on planning targets and validate availability

  • Confirm deployment suitability and collect necessary documentation (e.g., informed consents)

  • Maintain compliance with all data and call tracking requirements

Deployment & Scheduling Administration

  • Book travel and accommodations through approved vendors

  • Prepare and distribute welcome packages to mobilized personnel

  • Track and manage changes to scheduling, travel, and deployment arrangements

Data & Records Management

  • Maintain accurate records and ensure systems are updated in real time

  • Track daily progress against staffing goals and escalate issues as needed

  • Provide a high standard of customer service to internal and external stakeholders

Team Collaboration

  • Work as part of a high-functioning virtual team

  • Share best practices, contribute to training efforts, and support peers

  • Escalate issues appropriately and help maintain team momentum


Role Requirements

  • 1–2 years of experience in HR, coordinator, scheduling or customer service roles

  • Experience coordinating logistics or workforce deployment is an asset

  • Strong multitasking and time management abilities

  • Comfortable working across multiple systems and managing shifting priorities

  • Tech-savvy, with proficiency in Microsoft Office Suite (Excel, Outlook, Teams); experience with SmartSheet is a plus

  • High-speed internet and access to your own computer with webcam; dual monitors are an asset

  • Must be legally eligible to work in Canada

  • Successful candidates must complete a criminal background check

Work Schedule

  • Full-time hours scheduled between: 8:00 AM–11:00 PM (MST)

  • 5 working days per week between Monday and Sunday

  • Flexibility to work evenings, weekends, and statutory holidays is required
