Altis Recruitment is partnering with a leading organization in the public health sector to recruit a highly skilled and professional Executive Assistant for a short-term 2-month contract with potential for extension. This role offers an exciting opportunity to support a senior executive working in a fast-paced, high-impact environment across regional healthcare initiatives.
PLEASE NOTE: This role is hybrid, 2-3 days onsite in Thunder Bay.
Roles and Responsibilities
- Act as the primary liaison for internal and external stakeholders, ensuring consistent and effective communication on behalf of the Executive.
- Provide comprehensive administrative and executive support, including calendar and inbox management, scheduling meetings, coordinating speaking engagements, and preparing meeting materials.
- Prioritize, research, and summarize information to ensure the Executive is well-informed on current issues, operational activities, and regional matters.
- Draft and edit correspondence, reports, presentations, and briefing materials, often dealing with confidential or sensitive information.
- Coordinate detailed travel plans, itineraries, and logistics across regions.
- Manage expense reporting and budget tracking for the executive office.
- Participate in and support cross-regional initiatives, project work, and executive team meetings.
- Monitor and manage timelines and deliverables for executive-level projects and reports.
- Provide support in organizing and managing senior leadership and team off-site meetings.
- Facilitate the preparation and coordination of internal and external communications.
- Ensure document management protocols are followed and materials are kept current.
- Work collaboratively with a network of Executive Assistants to support broader organizational priorities.
Qualifications and Skills
- Post-secondary education in a related field or equivalent combination of education and experience.
- 5–10 years of experience supporting C-Level Executives, ideally in the public sector or a not-for-profit setting.
- Proven track record of working in a high-pressure environment with competing deadlines and priorities.
- Experience with both internal and external communications, stakeholder engagement, and partnership coordination.
