We are looking for a full-time, Administrative Assistant to join our Government client's team on a 3-month contract base with a possibility to be hired permanently. The ideal candidate is highly organized, able to set priorities, work independently, and enjoys being part of a dynamic team.
This position is going to be on a hybrid basis and located in Downtown Toronto.
Responsibilities:
- Coordinate the Senior Manager’s calendar by organizing meetings and appointments with internal teams and external partners.
- Assist with a variety of confidential projects, pulling together background information and preparing materials related to staff, programs, and organizational priorities.
- Act as a point of contact on behalf of the Senior Manager—responding to messages, addressing concerns, and keeping key stakeholders in the loop.
- Handle the logistics for meetings and events, including scheduling, booking spaces, arranging catering, and ensuring all details are covered.
- Help draft and fine-tune a range of written materials like reports, letters, presentations, and funding proposals; take minutes and track follow-ups when needed.
- Support budget tracking and financial processes by processing expenses, managing invoices, and helping with procurement and annual reporting.
- Provide HR-related support, from coordinating hiring and onboarding activities to assisting with staffing changes and maintaining confidential records.
- Take part in committee work and special initiatives, contributing to a collaborative and inclusive work environment.
Required Experience:
- Good interpersonal and communication (verbal and written) skills, with the ability to manage sensitive or confidential matters with discretion and tact.
- Positive customer service attitude, initiative, and creativity.
- Ability to maintain confidentiality.
Intermediate to advanced experience with MS Office Tools (Word, PowerPoint, Excel, Outlook, One Drive and Teams).
- Post-secondary training in a business or Administrative Assistant program or a related field.
- Minimum 2 years of experience in a professional office environment including some experience supporting several management or professional staff at one time.
- Experience working in a Public Industry (Government of Canada) and/or Finance industry.
