Our client in the healthcare industry is hiring a Medical Administrative Assistant to support the OBGYN department at their hospital. This role involves coordinating bookings, managing requisitions, handling communications, and providing administrative support to a passionate and supportive team. The ideal candidate is highly organized, and proactive, excelling in multi-tasking, email/phone communication, and calendar management.
Act as the first point of contact for inquiries from hospital staff
Coordinate labor & delivery bookings, patient referrals, and requisitions
Manage high email & phone traffic, ensuring timely responses and follow-ups
Assist with monthly meeting coordination and minute-taking for department leadership
Support research teams by gathering and organizing information
Provide occasional assistance with event coordination, including room setup and refreshments
Handle multiple administrative tasks, such as calendar management, appointment scheduling, minute taking, and document preparation
Work extensively with MS Office (Excel, PowerPoint, Word) and hospital booking tools
Minimum 3 years of administrative experience in a healthcare setting
Post-secondary education (college/university level)
Knowledge of medical terminology and patient care processes
Experience managing high/low-risk patient priorities
Proficiency in MS Office Suite and scheduling/booking systems
Exceptional organizational, communication, and coordination skills
Ability to handle a fast-paced, multi-tasking environment
Emotionally intelligent, patient, and proactive
Willingness to undergo an immunization check
