Job Description

Our client is seeking a highly organized and proactive Executive Assistant to support their team. In this role, you will provide seamless operational and administrative support to assigned executives, managing day-to-day functions, coordinating projects, and ensuring smooth workflow. This position requires exceptional judgment, accountability, and discretion while working closely with senior team members.  This is a one month contract with the possibility for extension.

What You’ll Do:

  • Provide high-level administrative support, including research, report preparation, information management, and handling confidential materials.

  • Manage executive calendars by scheduling meetings, arranging appointments, prioritizing tasks, and ensuring time is effectively allocated.

  • Oversee office communications, including emails, mail, and packages, drafting responses and coordinating resources as needed.

  • Organize meetings by booking rooms, preparing agendas, coordinating documentation, and capturing meeting notes for internal and external stakeholders.

  • Maintain organized filing systems, ensuring easy access to records, files, and key documents.

  • Act as the primary point of contact for internal and external inquiries, facilitating smooth and effective communication.

  • Collaborate with executives, administrative assistants, and cross-functional teams to support various projects and initiatives.

  • Conduct research and develop reports on relevant topics using internal and external sources.

  • Monitor office expenditures, approve expenses within signing authority, and assist in budget preparation and compliance.

What You Bring:

  • At least four (4) years of progressive experience in administrative and executive support.

  • Strong knowledge of executive administration practices and the ability to support senior leadership effectively.

  • Excellent customer service skills to interact with senior staff and key stakeholders.

  • Analytical and problem-solving skills to identify and resolve challenges proactively.

  • Proficiency in MS Office (Outlook, Word, Excel, PowerPoint) to manage documentation, reports, and filing systems.

  • Outstanding interpersonal, verbal, and written communication skills, with the ability to draft and edit confidential documents.
