We are looking for a dynamic, driven, and growth focused Administrative Professional to join our team!
As a Contract Administrator, you will be responsible for providing support to candidates, clients, and the Support Services team, contributing to a seamless candidate placement process while providing exceptional service along the way. You will collaborate with multiple departments, across all levels of seniority. You will lead with your exceptional understanding of employment standards, classifications, and legislative requirements. You will be flexible in your approach, and you will act as a trusted advisor on any subject-matter-related inquiries or issues.
This role will call on your superb service skills to bring all parties together and to treat others with respect and care. This position requires exceptional communication skills on the phone, virtually, and through written presentation. This role will involve comprehensive reading, creating processes, and liaising internally. Your main responsibilities will include but may not be limited to:
- Overseeing the full cycle candidate placement process, including assistance with onboarding, work permits, system issues, new order entry, set-up, amendments, rate changes, finishes, and any issues with contracts
- Overseeing a shared staff inbox with varying tasks tied to order management and client/candidate support
- Providing support with compliance, ensuring MSAs align with orders being processed
- Responding to calls and emails from clients and candidates seeking support, assisting with matters related to timesheet entries, onboarding confusion/conflicts, and client invoicing concerns
- Answering and actioning candidate calls coming in through the Contract Success phone line
- Providing administrative support to Account Managers
- Supporting Security Clearance and Background Check compliance as required
- Delivering training and guidance of our policies and practices when engaging with contingent workforces
- Contract processing, auditing and reporting
- Maintaining a comfortable level of awareness with employment standards, classifications, and legislative requirements, while acting as a trusted advisor on any subject-matter-related inquiries or issues
- Supporting responses to client audits and reports on various matters
- Supporting onsite events as needed
- Providing health and safety backup support and office maintenance support where needed
- Assisting with additional tasks/projects as required; some support functions may change based on business needs
Skills & Qualifications:
- At least one year of experience working in a similar in an administrative capacity
- Excellent interpersonal and organization skills
- Experience working in the staffing and recruitment industry considered a strong asset
- Proficiency in French considered a strong asset
- Ability to work 2 days/week on site
- Strong proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook, Teams) as well as experience working with any CRM systems considered an asset
