Job Description
We are building a talent pool for upcoming contract opportunities with a provincial government agency. These roles provide an ongoing opportunity to contribute to a high-volume document imaging and records management environment until March 2028.
This opportunity requires working fully on-site and offers a regular schedule from 7:30 AM to 4:30 PM (7.25 hours per day).
Key Responsibilities:
- Digitally capture and process incoming paper-based business correspondence using high-speed scanning equipment.
- Operate and maintain imaging systems, ensuring high-quality output while meeting tight deadlines.
- Accurately index imaged documents and support records management processes, including retention and disposal.
- Review, classify, and batch documents for scanning according to established guidelines.
- Identify and escalate potential issues, including document threats, for prompt resolution.
- Conduct quality control checks on scanned images to maintain data integrity and ensure compliance with operational standards.
- Maintain workflow accuracy by tracking and recording scanned batches, indexing metadata, and resolving missing or incomplete information.
- Assist with the secure handling, storage, and destruction of scanned documents according to retention policies.
- Provide training and guidance to new staff on imaging equipment, processes, and best practices.
- Prioritize and manage workload effectively in a fast-paced, deadline-driven environment.
- Support time-sensitive requests for legal, operational, and management documentation.
Requirements:
- Experience in document imaging, data capture, records management, or related fields preferred.
- Proficiency in using imaging systems, scanning equipment, and data indexing software.
- Strong attention to detail and organizational skills to ensure document accuracy and compliance.
- Ability to lift and move boxes weighing approximately 20-25 lbs as part of daily operations.
- Familiarity with Microsoft Office (Word, Excel, Outlook) for documentation and reporting.
- Analytical and problem-solving skills to troubleshoot imaging and data capture issues.
- Effective communication and interpersonal skills to collaborate with team members and escalate concerns.
- Adaptability to learn and apply new technologies and processes in an evolving work environment.
