Job Description

My client, a well-established nonprofit organization, is seeking a Supervisor, Finance and Membership Administration to oversee the financial and administrative processes related to membership dues and database management. Reporting to the Manager, Membership Administration, this role is critical in ensuring the accuracy of financial transactions, compliance with policies, and seamless coordination of membership records. The ideal candidate must be fluent in English and possess strong conversational proficiency in French.

Key Responsibilities:

  • Lead and manage the Membership Administration team, ensuring efficient operations and adherence to organizational policies.
  • Oversee the collection, distribution, and reconciliation of over $140M in membership dues annually.
  • Manage adjustments related to dues, including refunds, arrears recovery, and policy compliance.
  • Act as the primary administrator of the organization's membership database, ensuring data integrity for both financial and non-financial records.
  • Supervise the membership card application process and maintain the archive system.
  • Collaborate with internal stakeholders to support reporting, data accuracy, and process improvements.

What You Bring:

Education & Experience:

  • Bachelor's degree in Business Administration, Accounting, or a related field.
  • Minimum five years of relevant experience in membership administration, accounting, or financial operations.

Skills & Knowledge:

  • Experience in financial reconciliation, dues processing, and policy compliance.
  • Strong understanding of collective agreements, fee structures, and membership policies.
  • Proven leadership and supervisory experience, including training and team development.
  • Excellent project management and multitasking skills.
  • Proficiency in UnionWare, Microsoft Office Suite (Excel, Word, Access, Outlook), and database management.
  • Knowledge of trade union principles, equity policies, and labor relations is an asset.

Abilities:

  • Strong written and verbal communication skills in English and French.
  • Ability to motivate and lead teams while fostering a collaborative work environment.
  • Strong problem-solving and decision-making skills with the ability to adapt to changing priorities.
  • Ability to navigate complex situations, build consensus, and maintain productive relationships.
