We are seeking a Program Officer for our client in the healthcare sector for an 11-week contract with possibility of extension. Reporting to the Administrative Director, this role will collaborate with scientific leaders, managers, researchers, staff, and trainees to coordinate key initiatives and operational activities. The successful candidate will provide administrative and project management support while contributing to a workplace that values diversity, teamwork, and regulatory compliance.
Roles and Responsibilities
- Provide operational and administrative support to leadership and management teams.
- Independently plan and execute small projects.
- Manage research infrastructure and equipment, including service contracts.
- Liaise with various internal departments, including Finance, Procurement, Human Resources, and Research Operations.
- Oversee the onboarding and registration process for new personnel, including staff and trainees.
- Assist with large-scale initiatives and event coordination.
- Handle procurement, financial reconciliations, budgeting, invoicing, and documentation.
- Support purchasing, maintenance requests, credit card reconciliations, and other operational tasks.
- Organize and coordinate internal and external meetings, ensuring clear communication across teams.
Assist with grant applications, regulatory submissions, progress reports, and other scientific documentation.
Qualifications and Skills
- Minimum of 3 years of experience in a scientific or research-focused environment, preferably in the public sector.
- Experience in project management and drafting formal communications.
- Strong literacy and numeracy skills.
- Business and financial acumen, including experience with budgets.
- Excellent interpersonal skills, professionalism, and a strong commitment to supporting research initiatives.
- Proficiency in office applications with the ability to learn new systems quickly.
- Strong organizational and multitasking skills with the ability to manage competing priorities.
- Ability to identify and address risks effectively.
- Strong problem-solving skills and ability to collaborate with diverse stakeholders.
- Experience managing sensitive and confidential information professionally.
- Familiarity with research funding applications, particularly institutional infrastructure funding proposals, is an asset.
- Experience in scientific grant writing, progress reports, or working within an academic or healthcare environment is an asset.
