Job Description

We have an exciting long-term contract opportunity for a Senior Project Manager! Our client is looking for a certified and experienced Project Manager to support the planning and implementation of a systems renewal project. The ideal candidate has experience working on legacy system overalls and comparable customized software development projects, preferably within a research awards or grants management environment. 

The Project Manager will report directly to the Executive Sponsor (VP Level) and Director of Information Systems. 

Key Details

  • Duration: 1 year to start with potential to extend up to 5 years
  • Hours: 7.5 hour workday
  • Hybrid: 2 days onsite per week
  • Location: Ottawa, ON

Roles and Responsibilities

  • Manage all aspects of a typical customized software implementation project including managing project scope, budget, deliverables and day-to-day operations; create a project charter; integrated project planning; resource planning; change management; issues prioritization; risk analysis and management; quality assurance; ensuring timelines are met; updating project documentation; collaboration and communications with the team and internal / external stakeholders; and status reporting to leadership.
  • Conduct regular project team meetings to review project status, monitor progress, collect relevant information, identify issues which may impede progress and ensure appropriate plans are implemented to mitigate any risks to the project.
  • Prepare regular project status reports and all relevant background materials to support needs assessment and solutions. 
  • Provide leadership and guidance to the client's project team members.
  • Assist with the development and delivery of change management and communication strategies to ensure smooth implementation. 
  • Ensure smooth transition from existing system to the new system, and ensure the completeness and correctness of data migration from existing system to the new system. 

Deliverables

  • Ensure preparation of project charter, scope definition, project plans and budget risk management plan, and other planning deliverables required in support of the project implementation approval. 
  • Ensure full implementation of the client's award management solution deliverables as specified in the project charter and associated planning deliverables.
  • Develop and provide project tracking and monitoring of the project plan and status updates as required. 
  • Prepare project artefacts, background supporting documentation and record of decisions.
  • Provide oral briefings on an ongoing basis to apprise our client's executive sponsor, project director, business owners and IT management as to project status, challenges, risks and performance. 
  • Ensure the development and testing of a comprehensive range of scenarios of User Acceptance Testing (UAT) for all business units and system modules.
  • Develop and execute implementation plans to ensure any/all newly developed and implemented modules are properly supported during and after implementation through knowledge transfer to client's team.
  • Ensure the roles and responsibilities of the various support personnel are identified and that they are properly trained to accept the handover of the solutions and appropriate support processes and documentation upon delivery of the solutions outlined in the scope.
  • Ensure the development and delivery of all required training to client's staff and external research community. 
  • Ensure the project is successfully delivered to stakeholders' expectations.
