Job Description

We are currently seeking a Payroll & Benefits Lead for an exciting full-time, permanent role. This is a fantastic opportunity for a payroll professional with 5+ years of experience who is looking for a flexible remote or hybrid work arrangement (onsite at our Toronto or Ottawa office one day per week preferred). As a Payroll & Benefits Lead, you will play a crucial role in ensuring seamless payroll processing, compliance, team leadership, and effective communication. Your ability to provide exceptional customer service, handle urgent situations efficiently, and maintain a high level of financial accuracy and ethical integrity will be key to success in this role.

Key Responsibilities

Payroll

  • Manage & process payroll for permanent salaried employees.
  • Oversee payroll processing for assigned candidates on timesheets across multiple provinces.
  • Collaborate with HR to manage onboarding, offboarding, and training for internal staff, ensuring seamless payroll and benefits integration.
  • Prepare and issue Records of Employment (ROE) to Service Canada for internal staff.
  • Ensure accurate and timely payroll processing.
  • Oversee and verify payroll data input by coordinators.
  • Review payroll forms (TD1, TD1-IN, CPT30, CPT1, etc.).
  • Ensure payroll and accounts receivable alignment.
  • Process remittances for deductions at source (CRA and other agencies).
  • Stay up-to-date with legislative changes affecting payroll.
  • Support payroll audits, PIER reviews, and year-end reconciliations.
  • Maintain payroll process documentation and recommend software enhancements.

Benefits Administration

  • Manage group health insurance, pension plans, parental leave top-ups, and other benefits.
  • Work with HR to implement the new Flex Benefit Plan.
  • Coordinate the annual renewal process for benefits programs.
  • Administer new enrolments, adjustments, remittances, and terminations.
  • Act as the point of contact for benefits-related inquiries.
  • Facilitate transitions from leaves (LTD, maternity, sick leave, etc.) and return-to-work processes.
  • Prepare statistical summaries on benefits participation and costs.
  • Ensure compliance with policies and controls.

Team Leadership & Management

  • Lead the team of 2 direct reports.
  • Hire, coach, and inspire staff while fostering company values.
  • Conduct performance appraisals and training.

Education & Experience

Education:

  • Payroll Compliance Practitioner (PCP) certification (NPI).
  • Payroll Leadership Professional (PLP) certification is considered an asset.

Experience:

  • 4-5 years of payroll experience.
  • Strong knowledge of payroll processes, legislation, and employment regulations.
  • Bilingualism (English & French) is an asset.
  • Microsoft Office Suite proficiency.
  • Excellent communication and interpersonal skills.
  • Strong organizational and time management skills.
  • Ability to multitask, prioritize duties, and maintain confidentiality.
