Job Description

Our client is a leading real estate trust specializing in residential and commercial properties and is seeking to hire a proactive and detail-oriented Property Administrator to join their property management team. This role is critical in supporting the daily operations of their communities. The Property Administrator will serve as the primary point of contact for residents and homeowners, handling inquiries, managing administrative tasks, and assisting with community events.

Location: Oakville 
Onsite requirement: 5-days per week. 
Hours: Fulltime (Monday to Friday) 

Key Responsibilities:

  • Act as the first point of contact for residents, homeowners, and commercial tenants, addressing inquiries, concerns, and maintenance requests promptly.
  • Coordinate with maintenance and service teams to ensure timely resolution of issues.
  • Maintain regular communication with residents through email, phone calls, newsletters, and community updates.
  • Manage community databases and ensure accurate records of residents, lease agreements, and maintenance requests.
  • Prepare and distribute monthly reports, notices, and updates to residents and homeowners.
  • Assist in processing lease applications, renewals, and move-in/move-out documentation.
  • Coordinate with third-party vendors for services such as landscaping, cleaning, and repairs.
  • Plan and coordinate community events, meetings, and activities to enhance resident engagement and satisfaction.
  • Develop and implement strategies to foster a sense of community among residents.
  • Gather feedback from residents to improve services and identify opportunities for community enhancements.
  • Assist in the collection and processing of rent payments, homeowner association (HOA) fees, and other dues.
  • Support the property manager in budget preparation and monitoring expenses.
  • Manage accounts payable/receivable, including vendor invoicing and payments.
  • Ensure compliance with all local, state, and federal regulations related to property management.
  • Enforce community rules, regulations, and lease agreements in a professional and fair manner.
  • Assist in preparing and managing legal documents related to lease agreements, renewals, and notices.

Qualifications:

  • High school diploma or equivalent required; associate's or bachelor's degree in Business Administration, Property Management, or a related field is preferred.
  • 2+ years of experience in property management, customer service, or administrative roles
  • Experience with residential and/or commercial property management is a plus.
  • Strong organizational and multitasking abilities.
  • Excellent communication and interpersonal skills.
  • Ability to handle sensitive information with discretion and maintain confidentiality.
