Job Description

Our reputabl client in the legal sector is seeking a fulltime Legal Administrative Assistant to join their team! In this role, you’ll have the opportunity to work with one of our Litigation Partners and an Associate.

This is a hybrid role (3 days a week in office) based out of their downtown Toronto office.

Roles and Responsibilities

  • Legal Document Production & Management; drafting pleadings, affidavits of service, motion records and factums through Automated Civil Litigation (ACL)
  • Liaising with court contacts and filing documents through the Justice Services Online (JSO) portal
  • Coordinate the commissioning of Affidavits
  • Email and Calendar Management; maintain a bring forward system and proactively prepare materials
  • Organizing travel for conferences and affiliated expenses
  • Client File Management & Practice Activities
  • Accounts/Billing & A/R Financial Management
  • Marketing & Business Development Support
  • General Administrative Support

Qualifications and Skills

  • 3+ years of experience working in Litigation as a Legal Administrative Assistant (or a combination of education and experience)
  • Familiarity with documents specific to litigation
  • Familiarity with scheduling hearings and examinations and affiliated process
  • Familiarity with other jurisdictional filings and procedures
  • Experience with JSO, ACL and CaseLines is an asset
  • Experience in class action lawsuits, investigations and product liability is an asset
  • Law Clerk/Paralegal Diploma is an asset
  • Strong experience with calendar and legal practice management
  • Advanced knowledge of Microsoft Office (Outlook, Word, Excel, and PowerPoint)
  • Able to learn and utilize various software programs utilized by the Firm
  • Comfortable in an environment of continuous learning with on-going formal and self learning opportunities
  • Solution oriented with sound judgement to make informed decisions
  • Excellent verbal and written communication skills, with the ability to use discretion when dealing with confidential information
  • Solid organization and time management skills
  • Strong attention to detail and commitment to producing quality work
  • Professional, responsive, friendly, and able to build productive relationships
