Our client is seeking a detail-oriented and organized Scanning Clerk to join our team for a temporary assignment lasting 3 months in their Toronto office. As a Scanning Clerk, you will play a crucial role in digitizing and organizing documents to ensure efficient record-keeping and retrieval processes. This position requires meticulous attention to detail, excellent organizational skills, and the ability to work effectively both independently and as part of a team.
Responsibilities:
Prepare documents for scanning by removing staples, paperclips, and any other obstructions to ensure smooth processing.
Operate scanning equipment to convert physical documents into digital format accurately and efficiently.
Perform quality checks on scanned images to ensure clarity, accuracy, and completeness, making any necessary adjustments as needed.
Enter relevant information into databases or document management systems to facilitate easy retrieval and organization of digitized documents.
Organize digital files according to established guidelines, ensuring proper naming conventions and folder structures for easy access and retrieval.
Perform routine maintenance on scanning equipment to ensure optimal performance and troubleshoot any issues that may arise during operation.
Follow strict protocols for handling confidential and sensitive information to maintain data security and confidentiality at all times.
Collaborate with colleagues and team members to prioritize tasks and ensure timely completion of scanning projects.
Requirements:
Strong attention to detail and accuracy in handling documents and data is essential.
Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently.
Proficiency in operating scanning equipment and familiarity with document management software or systems is preferred.
Good verbal and written communication skills are necessary for collaboration and reporting.
