Job Description

Our client is seeking a detail-oriented and organized Scanning Clerk to join our team for a temporary assignment lasting 3 months in their Toronto office. As a Scanning Clerk, you will play a crucial role in digitizing and organizing documents to ensure efficient record-keeping and retrieval processes. This position requires meticulous attention to detail, excellent organizational skills, and the ability to work effectively both independently and as part of a team.

Responsibilities:

  • Prepare documents for scanning by removing staples, paperclips, and any other obstructions to ensure smooth processing.

  • Operate scanning equipment to convert physical documents into digital format accurately and efficiently.

  • Perform quality checks on scanned images to ensure clarity, accuracy, and completeness, making any necessary adjustments as needed.

  • Enter relevant information into databases or document management systems to facilitate easy retrieval and organization of digitized documents.

  • Organize digital files according to established guidelines, ensuring proper naming conventions and folder structures for easy access and retrieval.

  • Perform routine maintenance on scanning equipment to ensure optimal performance and troubleshoot any issues that may arise during operation.

  •  Follow strict protocols for handling confidential and sensitive information to maintain data security and confidentiality at all times.

  •  Collaborate with colleagues and team members to prioritize tasks and ensure timely completion of scanning projects.

Requirements:

  • Strong attention to detail and accuracy in handling documents and data is essential.

  • Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently.

  • Proficiency in operating scanning equipment and familiarity with document management software or systems is preferred.

  • Good verbal and written communication skills are necessary for collaboration and reporting.

  • Ability to work well both independently and collaboratively as part of a team in a fast-paced environment.

  • Punctuality and reliability in meeting deadlines and completing tasks within the specified timeframe.

  • Willingness to adapt to changing priorities and multitask as required.
