Job Description
Our non for profit client is dynamic and proactive Bilingual Administrative Assistant to provide comprehensive support to our team of professionals. The ideal candidate will possess a strong administrative background, excellent organizational skills, and proficiency in both English and French. This role requires a high level of attention to detail, multitasking abilities, and a proactive approach to problem-solving.
Responsibilities:
- Perform data entry and basic bookkeeping tasks using Excel, ensuring accuracy and efficiency (minimum 15% of workload).
- Provide administrative support to a group of 20 individuals, including 5 members of the negotiations group involved in collective agreement and strike actions.
- Coordinate travel arrangements, including booking flights, accommodations, and preparing meeting materials as needed.
- Manage day-to-day administrative tasks, ensuring smooth operations and handling ad-hoc requests.
- Act as a liaison between managers and other team members, facilitating communication and coordination.
- Utilize MS Office suite (Word, Excel, PowerPoint, Outlook) for various administrative tasks and document preparation.
- Handle French language requests and correspondence, both verbal and written.
Required experience:
- Fluency in both English and French (written and verbal) is essential.
- Minimum 2 years of experience in secretarial or administrative roles.
- Basic knowledge of bookkeeping principles and experience with data entry in Excel.
- Strong organizational skills with the ability to manage multiple tasks and priorities effectively.
- Comfortable working in a fast-paced environment where tasks may vary from day to day.
- Proactive attitude with a willingness to take on challenges and find solutions.
- Excellent interpersonal skills, with the ability to collaborate effectively and accept feedback.
- Previous experience supporting managers or executives is preferred.
- Familiarity with union environments is a plus.
