Altis Recruitment is grateful to have the opportunity to partner an organization within the Broader Public Sector to support the recruitment of a Administrative Coordinator within the education industry, located in North York.  This is a temporary to permanent opportunity with a fully on site working model.

Reporting to the Executive Director, The Administrative Coordinator will be providing administrative support to the department and Executive Director, overseeing and executing primary tasks. Duties include scheduling and organizing meetings/events, utilizing databases and tools to create statistical reports, crafting presentations, managing and filing OSRs, producing transcripts, and ensuring the quality of school communications.

Responsibilities:

  • Provide general administrative and project management support to the Executive Director and the department.
  • Maintain calendars and coordinate events, schedule meetings with students, families, and university representatives, and handle inquiries.
  • Draft general correspondence, presentations, and reports.
  • Manage student academic records in line with Ministry guidelines, overseeing  transcripts and requests for various documents such as graduation verification and IEP materials, ensuring compliance with Ministry standards.
  • Work with the enrollment department to handle new student enrollments and withdrawals, including requesting academic record transfers from prior schools.
  • Collaborate with Guidance and University Counsellors to manage the equivalency process for previous credits according to Ministry directives.
  • Assist in the course selection process alongside the Assistant Head, Academics.
  • Gather content for the weekly e-newsletter, update content on various platforms including School websites.
  • Ensure accurate and timely submission of academic documents for university and scholarship applications, and address student inquiries regarding university applications.
  • Collaborate with the Database Manager for reporting.
  • Support Guidance & University Counsellors in managing OUAC, UCAS, and Naviance databases.
  • Aid university counsellors by organizing information evenings and visits, coordinating with university representatives, and managing event logistics.
  • Coordinate and provide coverage for testing as required.
Requirements:

  • Postsecondary education
  • 1+ years of experience in a similar role within education or non profit industry
  • Strong communication skills verbally and in writing
  • Strong computer skills with ability to work with various applications and databases
  • Ability to work early mornings, evenings, and weekends
