Responsibilities:
- Serve as the initial contact for at the reception area, providing support to the Site Manager, GM, and staff.
- Comply with company visitor access control policy.
- Schedule and confirm appointments as necessary.
- Respond to electronic inquiries.
- Welcome individuals and direct them to appropriate contacts or service areas.
- Enter data into systems.
- Manage documents.
- Book conference rooms.
- Make travel arrangements.
- Handle expenses.
- Maintain positive relationships with external contacts.
- Perform various document management tasks such as filing, mailing, photocopying, and word-processing.
- Create and update simple spreadsheets.
- Maintain office equipment and coordinate repairs when necessary.
- Organize and oversee daily operations of the office, including meeting room bookings and arranging lunches.
- Generate and process purchase orders, collaborating with procurement when needed.
- Demonstrate knowledge of relevant document management systems and ensure compliance with quality standards.
- Maintain a clear understanding of Health, Safety & Environment requirements in the workplace and actively promote a safe office environment.
Requirements:
- Minimum 3 years of experience working in a similar Administrative position.
- Excellent written and oral communication skills.
- Strong attention to detail and time management skills.
- Proficient on MS Office Suite.
- Ability to work with Confidential documents and knowledge of how to store such documents.
- Must be eligible for Reliability Security Clearance.
